Privacy Policy
Effective August 20, 2026
This policy explains what 365 Kitchen & Bath collects when you use www.365kitchenandbath.com, why we collect it, and the choices you have. It applies to our estimate and service request forms, the mold-test request flow, the customer portal and our text message program.
Information we collect
- Information you give us: name, phone number, email address, property address, description of the damage, insurance carrier, policy and claim numbers, preferred contact time, and any photos or documents you upload.
- Signed authorizations: if you e-sign an Emergency Service Authorization we record your typed name, drawn signature, timestamp, IP address and browser user agent as evidence of signing.
- Portal account data: your email address and authentication records if you create a customer account.
- Technical data: standard server logs and device/browser information generated when you load the site.
How we use it
- To respond to your request, schedule an inspection and perform the work.
- To document the loss, prepare estimates and communicate with your insurance carrier or adjuster when you have authorized us to do so.
- To send you service updates by phone, text and email — only where you have given consent, and only about your project.
- To keep records required for licensing, warranty, tax and insurance purposes.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
Who we share it with
- Your insurance carrier, adjuster or agent — when you ask us to work your claim or sign an authorization permitting it.
- Crews and subcontractors assigned to your job, limited to the details they need to perform the work.
- Laboratories that analyze samples we collect, such as mold air and surface samples.
- Service providers that host our site and database, deliver our email, and deliver our text messages, under contract and only to provide those services.
- When legally required — in response to a valid subpoena, court order or lawful government request.
Text messages
We send text messages only to numbers that have given express consent on one of our forms or in writing. Message frequency varies by project. Message and data rates may apply. Reply STOP at any time to stop receiving messages, or HELP for help. Opting out of texts does not affect the work we perform for you. We do not share text-message consent or phone numbers with third parties for marketing.
Photos of your property
Photos you upload, and photos our crews take, are used to document your loss for your file and your carrier. We publish before-and-after photos only where you have given us a photo release, and we remove identifying details such as street addresses and house numbers. You can withdraw a photo release at any time by contacting us and we will remove the images from public pages.
Retention and security
Project records, signed authorizations and claim documentation are retained for as long as needed to service the job and to meet our legal, warranty, tax and insurance obligations, then deleted or archived. Data is stored with access controls so that only authorized staff can view customer records, and uploaded documents are served through expiring links rather than public URLs. No system is perfectly secure, and we cannot guarantee against every unauthorized access.
How long we keep each kind of record:
- Leads that never became a job24 months from the last contact, then deleted
- Job and claim records, photos and documentation7 years after completion — insurance, tax and statute-of-limitation requirements
- Signed authorizations, contracts, change orders and lien waivers7 years after completion
- Consent records for calls, texts and email5 years after consent is withdrawn, kept solely to prove consent
- Website analytics and error logs14 months
- Payment records7 years, as required for tax reporting; we do not store full card numbers
Where a record is subject to a legal hold or an open claim, we keep it until that matter closes, then apply the period above.
Your choices
- Ask us for a copy of the information we hold about you.
- Ask us to correct anything inaccurate.
- Ask us to delete your information, subject to records we are required to keep for legal, warranty or insurance reasons.
- Withdraw consent to calls, texts or email at any time.
Email steve@randrva.com or call (757) 692-6479 and we will respond.
